Taxcompliant offers two Magento extensions for collecting sales tax data associated with sales through your Magento store. The first extension, Magento import, obtains tax rates and other information by importing csv files directly into your store. These files are offered in the Sales Tax Files tab. The second extension collects tax information real time, on line through Taxcompliant.net. Although the methods differ for obtaining tax rates etc. the extensions offer the same report feature, which allows the export of sales tax transaction data in csv text files. These data can then be integrated into Microsoft Office applications for assistance in preparing tax returns, linkage to Quickbooks accounting, and producing other reports, as required. The extensions are offered as compacted "zip" files and will need to be extracted after download and before upload to your Magento store. Separate "Read Me" documents are offered to assist you for installing each extension.
It is important to point out that taxes are collected if a retailer has presence (nexus) in a particular state. For Magento, the retailer determines these tax decisions in the "Manage Tax Rates" section in the front end of the store. For example, if the retailer has nexus only in California, and chooses not to collect taxes in other states (future Federal legislation may make this mandatory), the retailer would import only California rates, and make sure rates for other states are removed. This would apply if the Magento Import Extension is used.
However, if the retailer chooses to use the Magento Lookup Extension, Taxcompliant must be notified of the areas (nexus) where taxes are collected. For retailers having nexus in several states, and because states have differing, and often confusing, rules, the Magento Lookup Extension may be preferable. Rates obtained with this extension are more accurate since the zip code 4-digit extension is recognized (for Washington and Oklahoma). Questions about taxability location (sales at the retailer location or the shipment location) are also handled.
If the retailer chooses to use the Magento Lookup Extension, he or she must fill out the Lookup Registration form and submit it on-line. This form establishes the tax rules for the retailer's store along with a userid and password which will allow access. Once the extension is installed, the userid and password is entered in the Magento back end Configuration and online access to Taxcompliant tax files is allowed.
