Taxcompliant offers two Magento extensions for collecting sales tax data associated with sales through your Magento store. The first extension, Magento_import, obtains tax rates and other information by importing csv files directly into your store. These files are offered in the Sales Tax Files tab. The second extension, Magento_Advance collects tax information on line through Taxcompliant.net. Although the methods differ for obtaining tax rates etc. the extensions offer the same report feature, which allows the export of sales tax transaction data in csv text files. These data can then be integrated into Microsoft Office applications for assistance in preparing tax returns, linkage to Quickbooks accounting, and producing other reports. (See applications in the Special Applications tab.) The extensions are offered as compacted “zip” files and will need to be extracted after download and before upload to your Magento store. Separate “Read Me” documents are offered to assist you for installing each extension. Additional information is available in the “How To” tab.
It is important to point out that taxes are collected if a retailer has presence (nexus) in a particular state. For Magento, the retailer determines these tax decisions in the “Manage Tax Rates” section in the back end of the store. For example, if the retailer has nexus only in California, and chooses not to collect taxes in other states, the retailer would import only California rates, and make sure rates for other states are removed. This would apply if the Magento_Import extension is used.
However, if the retailer chooses to use the Magento_Advance extension, Taxcompliant must be notified of the states where taxes are collected. For retailers collecting taxes in several states, the Magento_Advance Extension may be preferable. Rates obtained with this extension are more accurate since the zip code 4-digit extension is recognized (for Washington and Oklahoma). Questions about “sourcing” (sales at the retailer location or the shipment location), and whether tax is applied to shipping charges are also handled. You may exercise some hypothetical orders through our demonstration Magento store with the Advance extension. (This demonstration store is set up for sales tax rates in every state, without regard to nexus or sourcing considerations.)
If the retailer chooses to use the Magento_ Advance Extension, he or she must fill out the Advance Registration form and submit it on-line. This form establishes the tax rules for the retailer’s store along with a userid and password which will allow access. Click here to review the contents of the registration form. Once the extension is installed, the userid and password is entered in the Magento back end Configuration and online access to Taxcompliant tax files is allowed. When deciding which extension may be appropriate, it is important to consider how tax data may be updated and kept current. For the Advance extension, updates are done automatically by TaxCompliant.net–thus eliminating the worry about importing new rates or updating those currently in the Magento data base. For the Import extension, updates must be manually inputted, either by importing new rates or by updating current rates–therefore requiring careful maintenance and upkeep on a quarterly basis. The price for each of these Magento extensions is $49.95. If you chose the Magento_Advance_Extension, access fees will apply. The charges for access are $79.95 for up to 5000 queries (or hits) per quarter (three months), and $129.95 per quarter for queries that total more than 5000. There are no service contracts or specific commitments required. Billing will be processed by e-mail following each quarter of service.

***** The Magento_Import_Extension is currently being revised to allow “mass actions” to delete multiple tax rates. Currently, imported tax files are appended to tax rates rather than replacing those rates. To update tax rates for States having multiple tax rates, this requires deleting each rate one at a time, before importing new rates. This issue will be solved once our developers have added the “mass actions” feature. However, the current extension should be sufficient for providing updates or additions to the tax rate file, without the need to import new rates.

To use this extension, it is necessary to identify the tax profile for your particular firm. This includes identifying the states where you are registered, and whether the taxes to be collected are Sales or Use. Also you must supply a user ID and password that will allow TaxCompliant.net to identify you. This is accomplished by submitting this registration form.
